Job Summary: Responsible for overseeing human resources, payroll, accounts payable, and compliance programs, including the Drug and Alcohol Program. Ensures smooth operational processes, regulatory compliance, timely reporting, and accurate financial management across all departments.
Key Responsibilities:
Human Resources and Payroll Management:
- Coordinate the hiring process, including completing required forms and updating employee records annually.
- Process biweekly payroll and manage employee rate adjustments.
- Ensure compliance with tax filing requirements (941, 940, W-2, 1099 NEC) and submit sales, reemployment, and business taxes as per schedules.
- Manage general liability and workers’ compensation insurance payments, policy renewals, and audit processes.
Drug and Alcohol Program Coordination:
- Administer the Drug and Alcohol Program, including filing required forms during the hiring process and updating the participant list.
- Submit annual MIS reports and renew program registration every three years.
- Coordinate FAA inspections and facilitate internal audit processes.
Accounts Payable and Vendor Management:
- Create and process daily purchase orders and invoices using EBIS and QuickBooks.
- Generate biweekly accounts payable reports and ensure timely vendor payments with notifications.
- Maintain daily cash flow updates and manage vendor accounts, including collecting W9 forms.
