Position Summary
The Aircraft Programs Specialist reports to the Aircraft Programs Manager and is responsible for planning, vendor relationships, contract renewals, and customer support. This specialist ensure efficient execution of the work scope for the subscriptions and warranties. Adheres to and promotes the Clay Lacy Vision, Mission, and Values daily.
Duties and Responsibilities
- Plan, coordinate, and execute the activation and cancellation of aircraft programs from inception to completion, ensuring adherence to timelines, budgets, and quality standards during the onboarding, sustaining, and offboarding phases.
- Ensure that aircraft program enrollments comply with Part 135 and 91 aviation regulations, safety standards, and industry guidelines.
- Assist with negotiating and managing APU, Engine, and Airframe contracts with service providers to support owner budgets and specific needs.
- Purchase maintenance manuals for Part 91, 135, and 145 MRO.
- Provide technical guidance to the maintenance department to access maintenance manuals (CMM, LMM, IPC) in various airframe, engine, and APU supplier portals.
- Liaise with internal teams, external partners, and clients to communicate program updates, address concerns, and facilitate collaboration.
- Foster close collaboration with Accounts Payable/Receivable teams to facilitate the timely processing of invoices and payments for flight operations and maintenance subscriptions.
- Work closely with Financial Planning & Analysis (FP&A) to provide relevant financial data and insights for budgeting, forecasting, and decision-making.
- Conduct thorough reviews of invoices related to flight operations and maintenance subscriptions, ensuring accuracy and adherence to contractual agreements, and processing approved invoices for timely payment.
- Cultivate strong relationships with service vendors and partners involved in flight operations and maintenance subscriptions.
- Coordinate with vendors to address any issues or concerns, ensuring smooth communication and effective resolution of challenges.
- Track contract renewal timelines and milestones to ensure timely renewal negotiations and documentation completion.
- Oversee the renewal workflow from start to finish to renew APU, engine, airframe, and avionics agreements.
- Address any delays or issues arising during the renewal process proactively, coordinating with relevant parties to resolve them promptly.
- Maintain accurate records of contract renewals, including updated terms, conditions, and pricing agreements.
- Organize and store contract documentation in a centralized repository for easy access and reference by internal personnel and stakeholders.
- Liaise with internal personnel, owners, and relevant stakeholders to gather necessary information and documentation for contract renewal negotiations.
- Prepare and deliver accurate and competitive extended avionic warranty quotes and proposals to Part 145 customers, including transients and managed aircraft, for the company MRO and dealership.
- Provide ongoing customer support throughout the extended avionic sales process addressing inquiries, resolving issues, and ensuring a seamless customer experience.
- Monitor and track revenue generated from company MRO dealerships, specifically for the extended avionic warranty sales.
- Perform additional duties as required/assigned.

Required Education and Experience
Associate’s degree, or equivalent experience.
Preferred Qualifications
- Minimum of 3 year of aviation experience, preferred in flight operations or maintenance, parts/procurement specialists, contract oversight, administrative roles.
- Knowledge of OEM Programs such as Rolls Royce Corporate Care, Honeywell MSP APU/Engine, Bombardier Smart Parts, Cessna ProParts, Embraer EEC, Pratt & Whitney ESP.
- Knowledge of extended warranties and third-party sellers such as Honeywell MSP Avionics (HAPP), Honeywell Mechanical (MPP), Collins CASP, JSSI.
- Knowledge of OEM portals such as FlyEmbraer, Bombardier, Gulfstream, Honeywell, Rolls Royce, GE.
