Aviation Administrative Support (Back Office)
Objectives for the job:
The Aviation Administrative Support is supporting the TSM (Technical Service Manager) and CSM’s (Customer Service Manager’s) in administrative matters. Moreover, he/she issues and applies all warranty claims pertaining to customers, suppliers, manufacturers and repair stations. He/she should be a good team worker and coordinates all to be invoiced items with the various departments as necessary.
Job Responsibilities:
· Monitor and control actual A/C project costs (man-hours material) and report occurred or possible deviations from planned data to CSM.
· Support CSM’s to issue down payment requests and inform Finance for follow-up.
· Support CSM / Scheduler to open drop-in Revisions.
· Monitor and control project man-hours together with CSM.
· Administrating of claims for all materials to be returned to the vendors in a timely manner and updating the internal working database accordingly.
· Check that invoicing data is sufficient, correct and traceable.
· Support CSM that financial, billing and warranty aspects of project status after hand-over by MRO Sales is ensured.
· Scanning of maintenance package documentation to iMRO share point, sending original work orders / invoices to customer.
· Manually book hours against Revisions for Technicians / Contractors in iMRO as required.
Qualifications:
· Minimum 2 years’ administrative experience
· Good IT-Skills (SAP / MS-Office)
· Should bring a flair for numbers
· Preferably aviation experience
· Self motivated team player
· European citizen or with the permission to work in Switzerland
· Fluent in English and preferably also in German; any other language is a plus
