The Corporate Services Administration Officer position is pivotal in ensuring that all initial interactions with our business are handled with professionalism and efficiency before directing them to the appropriate internal channels.
We&39;re seeking someone with a hands-on approach, a polished telephone manner, and a can-do attitude. You&39;ll be responsible for a variety of reception and administrative tasks, working independently with minimal supervision.
Strong organisational skills are a must, as is the ability to interact with colleagues at all levels in a dynamic environment, sometimes under pressure.

Qualifications Essential
- Minimum 2 years’ experience in front of office administration role.
- Demonstrated experience in the key areas of administration and corporate administration and procedures.
- Demonstrated high-level communication/customer service skills – both written and verbal.
- Demonstrated time management skills with the ability to achieve deadlines and multitask.
- Telephony skills.
- Customer service focus.
- Ability to work unsupervised, multi-task & prioritise work load.
- Ability to work in a team environment.
- Computer literate – MS Office (Word, Excel, PowerPoint)– Intermediate.
- Experience with maintaining data bases, collation of reports, including editing, compiling and distribution.
- Experience with the collation of pay sheets, expense reimbursements and purchase orders
- Must hold a current NT drivers’ license
- Be able to hold and maintain an Aviation Security Identification Card (ASIC)

Reception
- Communicate with customers, employees, and members of the public in a professional, timely and efficient manner.
- Answer multi-line telephone system, direct calls and take messages.
- Compile, copy, sort and file records of office activities, business transactions, and other activities.
- Operate office machines, such as photocopiers and scanners, and personal computers.
- Compute, record and proofread data and other information, such as records or reports.
- Maintain and update filing, inventory, mailing and database systems.
- Open, sort and route incoming mail, answer correspondence, and prepare outgoing mail.
- Review files, records, and other documents to obtain information to respond to requests.
- Deliver messages and run errands for the business.
- Inventory and order materials, supplies and services including uniforms.
- Prepare meeting agendas, attend meetings, and record and transcribe minutes as required.
- Make travel arrangements for office personnel.
- Other duties as directed and/or required.

- Process and coordinate purchase orders for Corporate Services Team.

- Security and Key Management.
- Undertake administrative duties as directed, ensuring compliance with guidelines for confidential correspondence, reports and other complex documents.
