Job Summary

The ACAA’s Receptionist/Administrative Assistant will report to the Manager, Administrative Services and assumes responsibility for greeting visitors and staff. In addition, the incumbent will assist with the visitor badge process, answer telephones, and support the Administrative Services Department with various administrative activities and related tasks throughout the organization.

 

Here is how the Receptionist/Administrative Assistant will help:  

  • Act as the first point of contact for the Allegheny County Airport Authority, greeting and welcoming all visitors and staff.
  • Maintain security by following procedures and controlling access (monitor logbook, oversee/issue visitor badges).
  • Answer/screen telephone calls, take detailed phone messages, and direct to appropriate staff member/department.
  • Work with all administrative assistants to provide backup, and function as one team providing administrative support throughout the organization.
  • Act as first line of contact for vendor/stakeholder issues. Triage for escalation
  • Compile and track vendor/stakeholder issues.
  • Pickup mail on a daily basis and distribute to department mailboxes via the mailroom. Receive and sign for deliveries from couriers and distribute.
  • Escort vendors as needed for services relating to the Mezzanine, i.e., water deliveries, etc.
  • Perform other related tasks as assigned or required.

Qualifications

The following requirements list the minimum education/training/experience required to qualify for this job.  An equivalent combination of education and/or experience may be accepted.

Preferred requirements to apply for role of Receptionist/Administrative Assistant are:

  • High School diploma or GED. 
  • Previous experience as a receptionist in a professional office setting.
  • Previous customer service experience required.

 

We also expect that candidates will demonstrate the following knowledge, skills, and abilities in most cases:  

  • Proficient in Microsoft Office applications including Word, Excel, Power Point.
  • Considerable knowledge of general office practices and techniques.
  • Ability to multi-task various responsibilities
  • Provide excellent customer care to internal and external stakeholders by understanding their issues, providing a positive and timely response, and escalating when necessary.
  • Ability to communicate effectively both orally and in writing.
  • Ability to maintain confidentiality
  • Must have professional appearance and phone presence.
