Job Description:

Purpose of Position
Audit, monitor and control all maintenance related invoices, manufacturers warranty and guaranteed cost programs, in order to ensure that maintenance activities, time and material, are adequately charged according with the budget in order to guarantee cost optimization. Set up of new vendor accounts on Financials and maintain them update according with vendor records policy, guarantee that all vendor accounts are paid and reconciled according to company policies and procedures as well as vendor contracts.

Tasks and Responsibilities
  • Audit and monitor all maintenance related invoices in order to analyse if time and material charges are reasonable and appropriate to the maintenance performed;
  • Maintain and update invoice, warranty, purchase orders and cost program files to guarantee data accuracy and ensure a high level of maintenance cost control;
  • Classify and record aircraft maintenance invoices according with aircraft cost classification and the ATA (Aircraft Transportation Association) aircraft code and guarantee proper accounting integration of all maintenance related invoices for subsequent cost caption, in order to ensure proper and timely invoice payment;
  • Build and maintain supplier relationships to facilitate exceptional customer service and query resolution;
  • Keep organized and updated registers with aircraft details, maintenance rates and other relevant information concerning the maintenance providers in order to ensure the most accurate data related with maintenance activities;
  • Fill in claims of covered items in accordance with current negotiated warranty terms and track and follow-up correspondent credits in order to ensure a correct and timely reimbursement
  • Support the Team Leader on effective cost control programs and costs savings analysis, identifying excessive spending, analysing contracted maintenance flat rate and presenting suggestions for renegotiations, so that cost optimization could be achieved;
  • Support the Team Leader in aircraft maintenance specific projects highlighting trends to be taking into consideration for further maintenance finance analysis
  • Develop and maintain effective communication with Maintenance Vendors, Supplier Counterpart and Aircraft Manufacturers, in order to enhance cooperation levels and guarantee the establishment of favourable agreements regarding maintenance tasks costs;

  • University degree in Management, Economics or similar;

    Basic IT software skills (Excel, MS Access and MXi-Maintenix);
    Excellent level of English (both written and spoken).
