Job Description:

Reports to: Director of Flight Logistics

The Flight Coordinator serves as the central point of contact for interactions between aircraft clients/owners/client’s staff and flight crews, maintenance personnel and charter sales’ staff. 

The essential duties and responsibilities of a Flight Coordinator include, but are not limited to:

  • Serve as the point of contact with both fully managed and charter managed accounts.
  • Maintain office hours from 9 AM-5 PM Monday-Friday and after hour availability as needed.
  • Arrange all handling for aircraft to include but not limited to all necessary permits (e.g charters, landing, airport slots), parking, fuel, hangar, securing additional insurance if required.
  • Assist crew logistics including hotels, rental cars, airline tickets, etc.
  • Arrange passenger services including ground transportation, catering, etc.
  • Assist crew and passengers in securing appropriate visas for international travel, advise crew/clients of any health requirements such as required immunizations.
  • Effectively and accurately communicate all aircraft schedule information to client, client’s staff, and/or flight crews, maintenance personnel and charter staff.
  • Monitor flight crew duty time limitations and currency requirements to ensure compliance with applicable Federal Aviation Regulations and General Operations Manual standards.
  • Obtain applicable fuel releases for all managed aircraft.
  • Maintain and facilitate communications in a constantly changing environment.
  • Learn to utilize computer systems and programs in order to perform duties efficiently and effectively.
  • Perform related duties as assigned or as situations dictates.
  • Assist Chief Pilot and Director of Operations in maintaining crew training records and schedule crew training as needed.
  • Responsible for all flight locating procedures.
  • Coordinates and reviews with Director of Operations or Chief Pilot, pilot status basis as regards to currency and qualifications.
  • Assists Chief Pilot in assigning flight crews in his/her absence.  The Flight Coordinator may designate a PIC/SIC and shall ensure crews are qualified in accordance with the General Operations Manual, and all applicable Federal Aviation Regulations. 
  • Coordinates and reviews with Maintenance Control, aircraft status daily or as appropriate to facilitate scheduling aircraft.
  • Reviews and approves flight logs for accuracy.
  • Participates in company TSA 12-5 Standard Security Program (TFSSP)
  • Submit itineraries and manifest through eAPIS for all international flights.
  • Work with US Customs and Broder Protection (USCBP) to arrange departure clearances and arrival reservations/inspections.
  • Ensure security program compliance through coordination and communication.
  • In the event of an emergency initiates the Emergency Response Plan.

Job Requirements:
  • General knowledge of geography, aviation meteorology, customer service, and corporate aircraft types and performance.
  • Ability to foster relationships with other departments.
  • Must be able to work in a fast-paced, demanding environment and demonstrate the ability to juggle and prioritize multiple tasks.
  • 2 years of previous aviation industry specific work experience required with and an understanding of corporate aircraft operations and FAA regulations FAR 135
Salary Range: 42,000-50,000
