This dual role position is critical in managing day-to-day operations while also handling essential HR functions. This position reports to the HR Director Maintenance, Repair and Overhaul (MRO) America and supervise the Administrative Assistant/ Receptionist and Project Support Administrator positions. This position assist with implementation of company goals, objectives, policies and procedures at the Reno, Nevada facility. This role fosters engagement helps triage questions to the appropriate support resources and ensures a seamless daily operation.

Responsibilities:

Human Resources Responsibilities:

· Payroll coordination through time clock software and Corridor reconciliation.

· Sourcing, recruiting, interviewing, hiring and onboarding process through New Hire Orientation, which includes completion of I9s and applicable forms.

· Act as first point of contact for all employee related issues including but not limited to: injuries, leaves of absence, harassment, payroll, investigations and disciplinary actions escalating to Corporate HR when the need arises.

· Work with department managers and MRO HR to write or update job descriptions as required.

· Assist employees with data and paperwork processing for address or benefit changes. Forward to MRO HR as required.

· Maintain organizational charts and employee directory.

· Compliance with DOT/FAA Drug and Alcohol Program as well as coordinating the random employee drug testing.

· Report headcount including contract and temporary employees monthly to Vice President, Human Resources and Controller.

· Work with Corporate HR for all employee resignations/terminations through employee out-processing.

Administrative Duties:

· Monitors the processing of the aircraft work order by the PSA, Customer Project Manager (CPMs) and Planner to ensure accurate work order set up to facilitate timely invoicing.

· Oversee expense report processing review for accuracy; submit to applicable managers for approval and employee reimbursement.

· Organize and plan company events.

· Manage office supply, janitorial supply and office furniture/equipment purchases.

· Book scheduled and unscheduled travel events as business requires in accordance with corporate travel policy.

· “Back –Up” operator to the main line; answer routine inquiries or route calls to appropriate location.

· Authorized Signatory for TSA compliant Reno-Tahoe Airport SIDA and AOA Badge.

· Maintain facility access and alarm system.

· Establish, maintain, and revise files or forms, correspondence, departmental and company reports, and employee records.

· Coordinate meetings for management team and maintain calendar as necessary.

· Safe-guard customer, employee and company proprietary/personal information is kept confidential at all times.

Accounting Responsibilities:

· Work direct with Teterboro Corporate Credit Manager on new customer set up, work order payment requirements, collecting payment prior to departure and posting invoices to Corridor.

· Teterboro accounts receivable contact for all duplicate invoices requested by customers; forward as required.

· Fill out and send all credit applications to new vendors for N30 approval.

· Work with Little Rock Completions AP for all new vendor additions to payable system and Corridor.

· Final review of work order in facility prior to invoice being issued from Little Rock.

· Email invoices and credit memos to customers after close by Little Rock.

· Input invoices into Corridor for payment ensuring correct GL account is used.

· Review vendor statements upon receipt for missing invoices, credits or misapplied funds.

· Research and resolve outstanding or lost checks working with Corporate Treasury Supervisor to stop payment and Completions AP to reissue check.

· Track capital asset purchases for proper recording by Controller.

· Upload weekly invoice batch to Little Rock accounting for posting, check run and mailing.

· Assist with monthly financial closing and related accounting reports.

· Request manual checks as required through Completions AP.

· Reconcile American Express BTA against submitted travel expense reports for accuracy.

· Assist with forecast and budget as needed.

· Process supplemental vendor invoices through billing adjustment with approval from CPM.

· Disburse, balance and recap petty cash weekly for month end reporting to Controller.

Minimum Qualifications:

· High school graduate or equivalent

· Five (5) years experience in HR Generalist and/or administrative support in Human Resources

· Strong organizational skills

· Detail-oriented

· Intermediate-level PC skills- Word & Excel

· Must possess excellent verbal and written skills

· Ability to understand technical terms

· Must present a professional corporate image

· Ability to exercise sound judgment in the handling of confidential material and information

· Ability to work under pressure and handle changing priorities

Additional Desired Qualifications:

· Bachelors Degree in Human Resources

· General knowledge of business jet industry

· Able to speak and understand French

Working Conditions:

· Office environment

· Monday-Friday (8:00 AM- 5:00 PM)

· Must be able to work overtime and flexible hours as required
