Job SummaryTo administer the requirements of the Corporate Card Program at NAV CANADA. This includes processing card applications (new, inactive, closed), reviewing monthly transactions, auditing statement submissions, providing support to cardholders and managers on the card program, providing monthly reporting and analysis on card activity, and monitoring the card provider load into the ERP. The current program includes P-Cards, Travel cards & Virtual cards.

Key Accountabilities:

  • Be the subject matter expert in card program policies and DFA.  Have a thorough understanding of the different card types and their application.
  • Monitor card activities to ensure adherence to card policies and procedures and follow up with cardholders and managers regarding exceptions to policy.
  • Actively encourage the use of the appropriate card by cardholders to increase card usage and decrease invoice processing costs.
  • Maintain confidential information in a discreet and secure manner.
  • Participate in the planning, application and implementation of the annual card reviews.
  • Provide support for the following, but not limited to:
    • Preparing monthly transaction reports and variance and trend analyses,
    • Tracking receipt of card statements or other statements,
    • Auditing monthly card statements and receipts with follow up for out of policy issues,
    • Loading monthly electronic invoices for the card program,
    • Providing monthly reconciliation of the activity on the card program,
    • Monitoring card provider transactions into the ERP to ensure accuracy, timeliness and status.
  • Monitor the corpcard&64;navcanada.ca mailbox to ensure all queries are actioned in a timely manner.
  • Research, Analyse and identify problems and/or trends to make recommendations to correct and improve card policies, guidelines and procedures.
  • Ensure all required documentation is received and filed appropriately with follow up to ensure compliance. 
  • Provide accurate and timely data for the escalation process.
  • Review and maintain related SOP documents.

Job Requirements

Education:

  • Post secondary diploma or degree in Finance or other related fields.
  • CPCP (Certified Purchasing Card Professional) training an asset (Successful candidate may be required to obtain CPCP training).

Experience:

  • 5 years of related experience in Accounts Payable.
  • Experience with card program administration
  • Experience using banking programs & tools, reporting tools and large ERP solutions.

Knowledge:

  • Superior computer skills and working experience with Microsoft applications (Excel, Word, Powerpoint) and in a variety of computer based financial management systems.
  • Knowledge of banking programs & tools, reporting tools, and large ERP solutions.
  • Knowledge of research techniques including the ability to analyze/process financial data and make recommendations or to ensure a high level of accuracy in source data.

Abilities:

  • Ability to communicate and reason in an effective and tactful manner while maintaining a high degree of discretion.
  • Ability to analyze, review and access financial documents and make appropriate recommendations or take necessary corrective action to ensure compliance with policy while maintaining financial integrity.
  • Ability to apply an escalation process with understanding and tact.
  • Ability to demonstrate initiative to complete an investigation into card transactions to ensure compliance with policy & interaction with other systems such as expense reporting.

Working conditions:

  • Hybrid: This position is based at Ottawa Head Office but may be eligible for a flexible work arrangement.
